Adjustment of the procedure for submitting documents in support of an application for international protection

The CGRS adjusts its procedure for submitting documents (which took effect on 1 March).

From Monday 15 May, it is again possible to submit documents in support of an application for international protection by e-mail. This involves documents in JPEG, PNG, PDF, Word or other Microsoft Office file formats. It is impossible to submit documents through Internet links (no YouTube, no WeTransfer or anything that can lead to an insecure website). CD-ROMs or USB sticks containing video or audio clips can be submitted by regular or registered mail or handed in at the reception desk (against receipt). Briefly explain their relevance in the inventory included with the explanation.

As of Monday 15 May, it will also be possible to submit the bundle of documents in print by regular mail.

The bundle of documents can be submitted to the CGRS in the following way:

  • Send the bundle by registered mail or by ordinary mail to the Office of the Commissioner General for Refugees and Stateless Persons, Rue Ernest Blérot 39, 1070 Brussels.
  • Hand in the bundle at the reception desk of the Office of the Commissioner General for Refugees and Stateless Persons (Rue Ernest Blérot 39, 1070 Brussels). You will be given a receipt.
  • Send the bundle by e-mail to the CGRS (CGRA-CGVS.Dispatching@ibz.fgov.be).

We also stress the importance of sending original documents proving who you are, why you left your country and how you traveled to Belgium, to the CGRS as soon as possible. Do not wait until the day of the interview to submit these documents to the CGRS. This will allow us to process your application more smoothly.

Always indicate your full name and your CGRS case number. If you do not yet have a CGRS case number, indicate your public security number. The public security number is the case number you received at the Immigration Office.

More detailed information can be found in this explanation, which also includes an inventory. We always recommend using this inventory when submitting documents. It is important that the applicant complies with this obligation to cooperate in order to enable a smooth and qualitative processing of his application.
